Manage Billing

The Billing tab helps organization owners review the current plan, track usage, and manage subscription changes. Open the management portal, click your avatar in the top-right corner, choose Organization, and switch to Billing.

What you can see in Billing

The Billing screen shows the current plan, billing interval, and the current subscription state. It also shows organization-wide usage and limits for:

  • AI messages in the current billing period
  • projects in the organization
  • seats for team members
  • pages indexed per project

This makes Billing the main place to check whether your organization is still within the limits of the active plan.

Who can manage billing

Billing actions are intended for the organization owner. The owner can start a paid subscription, change the plan, open the billing portal, and review billing status for the organization.

Start a paid plan

If your organization is on the free plan, open Organization -> Billing, choose a paid plan, and select monthly or yearly billing. WebSpeaker then opens Paddle checkout, where you complete the purchase.

After checkout, return to the Billing tab and use Refresh billing status if the new subscription details do not appear immediately.

Monthly and yearly billing

Each paid plan can be billed monthly or yearly. The Billing tab and the pricing page show both options. Yearly billing lowers the effective monthly price, but it is charged upfront for the year.

Change plans

You can switch to another paid plan from the Billing tab. If your organization already has an active Paddle subscription, WebSpeaker will try to update that subscription in place. If that is not possible, the portal opens a new checkout flow.

After a successful change, refresh the Billing tab if needed to fetch the latest status from Paddle.

Open the billing portal

Use Manage subscription in the Billing tab to open the Paddle customer portal. There you can manage payment details and subscription settings using Paddle’s hosted interface.

Refresh billing status

Use Refresh billing status when you have just completed checkout, changed something in the billing portal, or want to make sure the portal shows the latest state from Paddle.

Understand subscription states

Active

Your plan is active and the organization can use the plan normally.

Cancels at period end

The subscription is still active, but it is scheduled to end when the current paid period finishes. The Billing tab shows Access until so you know how long the plan remains active.

Past due

The subscription has a payment problem, but access is still active for now. Update your payment details in the billing portal to avoid interruption.

Paused

The subscription is paused. In this state, the organization may be blocked from growing usage, adding projects, adding members, or using AI messages normally until billing is resumed.

Canceled

The paid subscription has ended. To restore paid access, start a new checkout from the Billing tab.

Understand usage and limits

Billing shows usage for the current billing period and plan limits for messages, projects, seats, and pages. AI message usage is tracked per billing period. Project, seat, and pages limits define how much the organization can use under the active plan.

  • If you hit the AI message limit, users may see a limit-reached response instead of a generated AI answer.
  • If you hit the project limit, creating or moving additional projects can be blocked.
  • If you hit the seat limit, inviting more members can be blocked.
  • If you hit the pages limit for a project, scraping can stop before all website pages are indexed. In that case, the collection can remain usable, but it may be incomplete until you upgrade the plan or reduce the crawl scope.
